Customize Company Configuration
Company information is general information about your company that must be entered in RBS. This information will print on the letters and forms that are generated in RBS. Please fill this information in as accurately as possible.

The Company Configuration form will be displayed.

Enter all of your company information. All the mandatory entry (default in Yellow) fields must be filled in. The white fields are optional but we recommend that you fill in as much information as possible for later use.
GENERAL Tab
Company Name - This field is populated from the license file and is non-editable.
Location - This is where you will enter the main location or office location of your business.
Address Line 1 - Enter your street address.
Address Line 2 - Enter a PO box or a Suite number.
Address Line 3 - Enter a PO box or a Suite number.
City - Enter your City.
State/Postal Code - Enter your State and Zip Code
Country - Enter your Country – This field will default to USA.
Main Phone - Enter your main office phone number
Main Fax - Enter your main office fax number
Main E-mail - Enter your office e-mail
State Code - Enter the default state used for accounting purposes
Country Code - Enter the defualt country for accounting purposes.
Website/URL - Enter your company’s website address.
Logo Filename - Enter the name of your file where your Company Logo is. This will allow RBS to pull your logo and insert it in to certain documents. Include Country in Address If you would like the country printed along with your address, put a check mark in this box. Initial Related Type Choose a document from the drop down box. This document will be the Default document that appears on the General Tab in the Report generator box. Required Field Background Color This should default to Required, just leave it as Required. Log System Activity Check this box if you want RBS to log system activities.
SYSTEM Tab

Proposal Deposit % - Enter a percentage amount for charges on proposals
Change Order Daily Rate - Enter your set fee for change orders, this will be the default throughout the program.
Change Order Deposit % - Enter your Change Order deposit percentage.
Change Order Admin Fee - Enter your Change Order Administrative fee.
Credit Design Fees - Checkbox Click this box if you credit your design fees back to the client
Conserve Toner - If you click on this box any grids that are printed will not be shaded.
Document Type-Change Order Doc - Click on the drop down box and choose the Change Order document that your company will use for change orders. You should have set this up in the Setting Up Templates section.
Document Type-Design Agreement - Click on the drop down box and choose the Design Agreement document that your company will use for change orders. You should have set this up in the Setting Up Templates section. Document TypeContract Proposal Click on the drop down box and choose the Contract Proposal document that your company will use for change orders. You should have set this up in the Setting Up Templates section.
Allow Editable MIN & MAX for Fixed Priced Design Agreements - If this box is checked a User will be able to Edit fixed pricing on Design agreements
Use Label Printer - If you have a label printer and would like labels to print to this printer then check this box.
Custom Naming Convention Logic -
Use Accounting Integration - This box is for future versions of RBS – Leave blank
Automatic Posting - This box is for future versions of RBS – Leave blank.
Invoice Change Notification - This box is for future versions of RBS – Leave blank
Notify - This box is for future versions of RBS – Leave blank.
Type - This box is for future versions of RBS – Leave blank

DEFAULTS Tab

Invoice Message - You can enter a message here that will print on all of your invoices.
Document Storage - Click on the drop down box to choose where documents will be stored.
Image Storage - Click on the drop down box to choose where images will be stored.
Report Storage - Click on the drop down box to choose where reports will be stored.
Export Storage - Click on the drop down box to choose where exports will be stored.
Template Storage - Click on the drop down box to choose where templates will be stored.
Referral Type for Leads from Web Site - Default Sales Person to use for Web Site
REPORTS Tab

Do not print Invoice Date on Invoices

TEMPLATES Tab

Site-specific Purchase Order Templates - To use the latest Purchase Order documents you will need to click on the folder and choose the New Purchase order format from the list.
Default Proposal format to be used - Click on the drop down to select a Proposal Format.
Default Job Contract/Proposal Document - Click on the drop down to choose a default Job Contract/Proposal document. This tells RBS which document to pull. These were set up in Setting up Templates section.
Default Change Order/Misc - Proposal Type Click on the drop down to choose a default Change Order/Misc Proposal document. This tells RBS which document to pull. These were set up in Setting up Templates section.
Default Lead Qualifier Document - Click on the drop down to choose a default Lead Qualifier document. This tells RBS which document to pull. These were set up in Setting up Templates section.
SCREENS Tab

Override Default Tabs 0 This function will allow you to view ONLY the tabs your company uses in a job. There are currently 16 tabs in a job. If your company does not use design agreements or Commissions, you can turn these tabs off by simply unchecking them. This means you will only be able to see 14 of the 16 tabs, or whatever you choose.

Weekend Back color - You can click here to set the colors on the calendar to differentiate between the weekends and work weeks.
Office Hours Back color - You can click here to set the colors on the calendar to differentiate between the weekends and work weeks.
Scheduling Office Hours Start Time - You can enter your office business hours here.
End Time - You can enter your office business hours here.
EMAIL Tab

Use RBS Email to Send E-mail - Click here if you plan to e-mail documents out of RBS
POP Host - Check with your System Administrator to find out what your POP Host address is and enter it here.
SMTP Host - Check with your System Administrator to find out what your SMTP Host address is and enter it here.
WORD PROCESSOR Tab

When all required and oprional fields have been entered, click on the OK button to save.
